Employees are using it to write, research, analyze information, automate tasks, and work more efficiently. Organizations are also evaluating new AI capabilities in the technology they already use. As we look toward 2027, the conversation needs to go beyond whether businesses should use AI and focus more on **how they’re using it, where it makes sense, and how those decisions are being made.** Are employees using AI in ways that genuinely improve their work? Is company information being protected? Does everyone understand what is and isn’t appropriate? And as new tools continue to emerge, who decides which ones are actually worth bringing into the business? Those questions lead to five areas every organization should be thinking about now. ### **1. Where is AI actually helping employees today?** There’s a big difference between using AI and getting value from it. Start by looking at how employees are actually using AI in their day-to-day work. Is it helping them work through information more efficiently? Get a first draft started? Reduce repetitive tasks? Summarize information? Research ideas? Find answers faster? The specific uses will vary from one organization and one role to another. What matters is whether AI is solving a real problem or simply adding another tool to the mix. Some of the best opportunities may not be dramatic. Saving a little time on tasks employees perform repeatedly can be more meaningful than adopting an impressive new AI application that rarely gets used. Understanding where AI is already working can also help identify where it may make sense to expand its use. ### **2. What information should employees never put into an AI tool?** This may be one of the most important conversations a business can have about AI. Employees can easily copy information into an AI tool without thinking about what happens to that information afterward. Depending on the tool, that could include confidential company information, client data, financial information, passwords or credentials, intellectual property, or other sensitive material. That doesn't mean employees shouldn't use AI. It means they need to understand the difference between asking AI to improve a generic piece of writing and giving a tool information that the business has an obligation to protect. Organizations also need to understand the AI tools they are approving and how those tools handle their information. Managing AI risk is increasingly being treated as an ongoing business responsibility rather than a one-time technology decision. The National Institute of Standards and Technology's Generative AI Profile, for example, is designed to help organizations incorporate trustworthiness considerations into the design, development, use, and evaluation of generative AI. ### **3. Does your company have an AI policy?** If the answer is no, employees may be creating their own rules. An AI policy doesn't need to prevent people from experimenting or make AI difficult to use. In fact, overly restrictive policies can have the opposite effect, encouraging employees to find their own tools and work around the rules.  Instead, employees need clear, practical guidance. Which AI tools are approved? What kinds of information can and can't be entered? When should AI-generated information be checked by a person? Are there uses that require additional approval? A useful policy should help employees feel more confident about using AI appropriately, not simply give them a long list of things they aren't allowed to do. ### **4. Who is responsible for evaluating AI tools?** New AI tools seem to appear constantly. An employee may find one that promises to automate a time-consuming part of the job and be ready to sign up within minutes. But a useful feature isn't the only thing that matters. Before an AI tool becomes part of the business, someone should be looking at questions such as security, privacy, cost, compatibility with existing technology, and what happens to company data. Responsibility for those decisions should also be clear. Otherwise, AI adoption can happen department by department, or employee by employee, without anyone having a complete picture of what is being used. This isn't about putting IT in the way of innovation. It's about making sure enthusiasm for a new tool doesn't get ahead of the questions the business needs to ask. ### **5. How do you know whether an AI tool is actually worth using?** “We use AI” isn't a business outcome. A better question is: What got better because of it? Maybe employees are spending less time on repetitive work. Perhaps they're getting to information faster. Maybe AI is helping them respond to clients more efficiently, work through large amounts of information, or spend more time on work that requires human expertise. The answer doesn't always need to be a complicated ROI calculation. But there should be an answer. AI tools can quickly become another recurring business expense. If employees aren't using them, if they're duplicating capabilities the company already has, or if they aren't producing a meaningful improvement, it may be time to reconsider them. ### **The Goal Isn't More AI** The businesses that benefit most from AI in 2027 may not be the ones with the longest list of AI tools. They'll be the ones that understand what they're trying to accomplish with them. That means giving employees room to explore while providing sensible guardrails. It means protecting company and client information. It means evaluating new tools before they become embedded in the business. And it means being willing to ask whether AI is actually making the work better. AI will continue to change. Individual tools will come and go. The goal shouldn't be to keep up with every one of them.
